Operations / Voice AI & automation — Victoria, BC

Somebody answers. Every time.

An AI receptionist that picks up on the second ring at 2 p.m. or 2 a.m., knows what you do and who you take on, books the appointment into your calendar, and texts you the details before you are free to look at them. Our own number is answered by one — so you can hear it for yourself in about ninety seconds.

Our line is answered by one Call it 24/7 Month to month

A weekend, off the clock Call log

  • Sat 8:12 PM No hot water — Esquimalt Voicemail — called someone else by 8:20 Answered — booked Sunday 8:00 AM
  • Sun 7:40 AM Quote for a new deck — View Royal Voicemail — no message left Answered — site visit Tuesday, details texted
  • Sun 2:31 PM Asked if you service Sooke Voicemail — never called back Answered — told no, given a straight reason

You had the weekend off either way. One version pays for itself.

Example of a typical weekend, not a specific client.

Before you read another word

Call us. You’ll be talking to one.

Our own phone is answered by the same thing we’d build for you. Ring it, push it, try to catch it out, hang up on it if it’s rubbish. That is a fairer test than anything we could write on this page.

Answers 24/7 · No form first · Ask for a human whenever you like

Worth asking it

  • “What would you do for a dental clinic in Saanich?”
  • “Are you a real person?”
  • “How much does this cost?”
  • “Do I have to change my phone number?”
  • “Put me through to a human.”

What it
does

Four ways a lead stops slipping through.

Turn on the ones you need. Most people start with the phone, then add the text-back once they see how many calls were going nowhere.

The phone

It answers, and it knows the business

We train it on your services, your service area, your rough pricing, your hours and the work you turn away. It asks the questions you’d ask — what’s the matter, how long has it been going on, is this urgent, have they been in before — and it doesn’t forget one when it’s busy.

  • Answers on the second ring, day or night, weekends and holidays
  • Handles more than one call at the same time
  • Books straight into the calendar you already use
  • Puts urgent calls through to your cell on rules you set
  • Texts you a plain summary the moment the call ends

Missed-call text back

The call you couldn’t take turns into a text

If a call ends unanswered for any reason, the caller gets a text within seconds: sorry we missed you, what do you need? Most people answer a text while they’re standing there. By the time you are free, you have the details and the appointment.

  • Sends in seconds, from your business number
  • Replies come to one inbox you can answer from your phone
  • The assistant can carry the conversation and book it for you
  • Every message carries your business name and STOP works instantly

Website chat

Answers on the site, so they don’t leave to compare

Same brain as the phone, in a box on your website. It answers the boring questions — do you cover Langford, do you take new patients, do you handle that kind of case, how soon can you see me — then takes the name and number and hands you the lead.

The follow-ups

The chasing you never get around to

Quotes that never got a yes or a no, appointment reminders that stop the no-shows, and the review request after the job. All of it happens on schedule whether or not your week went sideways.

  • Quote follow-up at day three and day seven, then it stops
  • Appointment reminder the day before, with the option to reschedule
  • Review request once the job is marked done — see reputation management

A call,
line by line

Here’s what it actually sounds like.

Sunday evening. Somebody has just been let go from their job, they are looking for an employment lawyer, and you are at your kid’s hockey game with your phone in your jacket.

Sunday 8:40 PM — incoming callTranscript

  • Assistant “Harbour Law, this is the virtual assistant. How can I help?”
  • Caller “I was dismissed on Friday and I think it was unfair. Do you handle that?”
  • Assistant “We do. There are deadlines on those claims, so it is worth moving quickly. Can I take your name and the date you were let go?”
  • Caller “Priya Raman. Friday the twenty-second.”
  • Assistant “Thank you. Devi has a free consultation at 9:00 tomorrow or 2:00 on Wednesday. Which suits you better?”
  • Caller “Tomorrow morning, please.”
  • 8:43 PM Booked into the calendar. Confirmation texted to the caller. Summary and intake notes sent to Devi.

Two minutes. You were at the rink the whole time.

Example script. Yours is written around your services, your intake questions and your fees.

What it
won’t do

The parts other people don’t tell you.

  • It says what it is It introduces itself as your virtual assistant. Pretending to be a person falls apart the moment somebody notices, and it isn’t a fair way to treat your customers.
  • It doesn’t quote a job It can give your consultation fee or a typical range if you want it to. It won’t price a renovation or advise on a case over the phone, because you wouldn’t either.
  • It hands off when it’s out of its depth Unusual question, distressed caller, anything on your escalation list — it takes the details and gets you, rather than guessing.
  • Regulated practices If you’re a clinic or a law firm, it’s set up to take details and book time — not to give advice or discuss a file. Recording stays off unless you ask for it, transcripts are confidential, and we’ll sign whatever your college or the Law Society needs us to sign.
  • It won’t replace your office person If you have someone good on the phones, this covers the nights, the weekends and the moments they’re already on another call.
  • You hear it before you buy it Our own line is answered by one, so you can test it this minute on (778) 400-1745. Once we know your business we set up a second line trained on your services and ring your cell from it. If it doesn’t sound right, we change it or you walk away. No deposit to find out.

Questions
we get

Straight answers.

Does it sound like a robot?

Call (778) 400-1745 and decide for yourself. That’s our own number, answered by the same thing we’d build for you. Ask it anything you like.

Don’t like the voice? We change it — there are dozens. Don’t like the whole idea? You’ve lost ninety seconds rather than a deposit. Later on we’ll also set up a line trained on your services so you can hear it answering as your business before you commit to anything.

Does it tell people they’re talking to an assistant?

Yes, in the first sentence. It introduces itself as the virtual assistant for your business.

What if it can’t answer something?

It says so plainly, takes the details, and gets the message to you with a summary text. For anything you’ve marked urgent — flooding, no heat, severe pain, a filing deadline — it can put the call straight through to your cell instead.

Do I keep my phone number?

Yes. It’s on your listings, your signage and your invoices, so we work with it rather than around it. Calls ring you first and the assistant picks up only when you don’t, or only outside the hours you choose. You set the rules and you can change them any time.

Are calls recorded?

Calls are transcribed so you get a written summary. Audio recording is optional and off unless you ask for it — and if you turn it on, callers are told at the start of the call, as BC and federal privacy law require.

What if two people call at once?

Both get answered. That’s the part a human receptionist can’t do, and it’s usually what Monday morning looks like.

How long does setup take?

Usually about a week. One call to go through your services and your rules, a few days for us to build and test it, then a week where we read every transcript with you and fix anything that sounds off.

Next step

Call it first. Decide after.

Ring (778) 400-1745 and put it through its paces. If you like what you hear, tell us what you do and where, and we’ll set up a line trained on your own services and ring your cell from it. No deposit, no commitment.
