This policy explains what information Pacific Automations collects, why we collect it, and what we do with it. Pacific Automations is a trading name of 1569146 B.C. LTD., a company registered in British Columbia, Canada, operating from Victoria, BC.
It applies to this website, to the enquiry forms on it, and to the text messages and emails we send to people who contact us.

We are the organisation responsible for the personal information described in this policy. If you want to reach the person who handles privacy questions, use the email above and put “Privacy” in the subject line.
2. What we collect
Information you give us
- Your name and your business name
- Your email address
- Your phone number, including a mobile number if you give us one
- Which of our services you are interested in
- Anything you type into the message box or tell us on a call
- Whether you ticked the box consenting to receive text messages, along with the date and time you did so
Information collected automatically
- Basic technical information your browser sends, such as your device type and browser version
- Which pages you visited on this site and which page sent you here
- Approximate location based on your IP address, at the level of a city or region
We do not use advertising trackers or sell any of this to data brokers.
3. Why we collect it
- To reply to your enquiry and, if you become a client, to deliver the services you have asked for
- To send you information about your enquiry, your quote, your appointment or your account
- To send you text messages, if and only if you have consented to receive them
- To keep records of consent, so we can show when and how permission was given
- To understand which pages of our own website are useful, so we can improve them
- To meet our legal and record-keeping obligations
We rely on your consent, or on the reasonable purposes permitted by British Columbia’s Personal Information Protection Act and Canada’s Personal Information Protection and Electronic Documents Act, to handle your information for these purposes.
4. Text messages and SMS consent
Mobile phone numbers and SMS consent are collected solely to communicate with you. SMS opt-in data and phone numbers will not be shared with or sold to third parties or affiliates for marketing purposes.
The SMS consent checkbox on our forms is unchecked by default and is entirely optional. You can submit any form on this website without ticking it, and we will still respond to your enquiry by email or phone.
If you do tick it, here is exactly what that means:
- You agree to receive text messages from Pacific Automations at the number you provided.
- Message and data rates may apply, depending on your mobile plan.
- Message frequency varies. We do not send a fixed number of messages, and we do not send bulk marketing blasts.
- You can stop the messages at any time by replying STOP to any message. The opt-out takes effect immediately and we will send one final message confirming it.
- Reply HELP to any message for help, or contact us using the details in section 1.
- We record the exact wording of the consent you agreed to, along with the date and time, so that there is a clear record of what you were asked and when.
Consent to receive text messages is never a condition of buying anything from us.
We also send text messages on behalf of our clients, for example a review request after a completed job. Those messages identify the business sending them, follow Canada’s Anti-Spam Legislation, and include the same opt-out instructions. Opting out of one business’s messages does not affect any other.
5. Who we disclose information to
We do not sell your personal information. We do not rent, trade or otherwise make it available to anyone for their own marketing.
We disclose personal information only in these situations:
- Service providers acting for us. Companies that host our website, run our customer records system, or deliver our email and text messages. They act on our written instructions, may use the information only to provide that service to us, and may not use it for any purpose of their own.
- Where the law requires it. If we are compelled by a valid legal order, or where disclosure is required or permitted by Canadian law.
- With your direction. If you ask us to pass something to someone specific.
Some of the service providers we use store information on servers outside Canada, including in the United States. Where that is the case, the information may be accessible to the courts and law enforcement of that country. We choose providers that offer contractual protection for the information they hold on our behalf.
6. Information we handle on behalf of our clients
When we run a phone line, a messaging service or a website form for a client business, we handle personal information belonging to that business’s customers or patients. In that situation the client decides what is collected and why; we act only on their instructions, as their service provider.
Some of our clients work in regulated fields — dental and medical practices, clinics, and law firms. Call transcripts and appointment notes for those clients can contain health information, or information subject to solicitor-client privilege. We treat all of it as confidential:
- It is used only to deliver the service that client asked for — never for our own marketing, product development or analysis.
- Access is limited to the people who need it to operate the service.
- Audio recording is off unless the client turns it on, and callers are told at the start of the call when it is on.
- It is returned or permanently deleted when the client’s agreement ends, whichever they choose.
- Where a client’s professional body or governing legislation sets stricter requirements, those requirements take precedence, and we will sign the agreements needed to meet them.
If you are a customer or patient of one of our clients and you want to know what is held about you, contact that business directly — it is their record, not ours, and we will help them answer you.
7. Cookies and analytics
This website uses only what it needs to function. We do not run advertising pixels or cross-site tracking cookies. If we add website analytics, it will be a privacy-respecting product configured not to sell or share visitor data, and this policy will be updated before it goes live.
8. How long we keep it
- Enquiries that do not become clients: up to two years, then deleted.
- Client records: for as long as you are a client, and for seven years afterwards where tax and business law requires it.
- Consent and opt-out records: kept for as long as we are required to be able to demonstrate compliance, even after you opt out. This is the one record we keep specifically so we can prove you asked us to stop.
9. How we protect it
Access is limited to the people who need it to do their job. Accounts require multi-factor authentication, data is encrypted in transit, and we review who has access on a regular basis. No system is perfect, but if a breach ever affected you, we would tell you and the Office of the Information and Privacy Commissioner as the law requires.
10. Your rights
Under British Columbia and Canadian privacy law you can:
- Ask what personal information we hold about you and get a copy of it
- Ask us to correct anything that is wrong
- Withdraw your consent, including consent to text messages, at any time
- Ask us to delete your information, subject to any records we are legally required to keep
- Complain to us, and if we do not resolve it, to the Office of the Information and Privacy Commissioner for British Columbia

11. Children
Our services are sold to businesses. This website is not directed at children, and we do not knowingly collect personal information from anyone under 16. If you believe a child has given us information, tell us and we will delete it.
12. Changes to this policy
If we change this policy we will update the date at the top of the page. If a change materially affects how we handle your information, we will tell you directly before it takes effect.
