Privacy & SMS Policy

This policy explains what information Pacific Automations collects when you interact with us — through this website, the chat widget, or by booking a call — and how we use it. It also covers our SMS messaging practices, as required by North American mobile carriers for A2P 10DLC compliance.

Who we are

Pacific Automations is a British Columbia corporation operating in Victoria, BC, Canada. We build and operate AI systems (missed-call response, review automation, chatbots, voice agents, booking agents) for local service businesses.

Information we collect

We collect the following when you voluntarily provide it:

Name and email — when you email us or book a call through Calendly.
Phone number — only when you explicitly provide it through our chat widget and opt in to receive SMS messages from us.
Business information — what you share with us during discovery (company name, industry, current tools, goals).
Anonymous usage data — standard web-server logs (IP, user agent, referrer). No cross-site tracking pixels, no advertising cookies.

SMS / text message program

Consent. By providing your mobile phone number through our chat widget and confirming opt-in, you agree to receive SMS messages from Pacific Automations. Consent is not a condition of any purchase. Standard message and data rates may apply. Message frequency varies — typically 1–4 messages per conversation thread.

What kinds of messages we send

Conversational replies — responses to questions you start in our chat widget.
Appointment confirmations and reminders — if you book a discovery call.
Follow-up — replies to active sales conversations you initiated.

We do not send unsolicited marketing SMS, mass promotional SMS, or automated outbound drip campaigns to numbers that have not opted in.

How to stop SMS

Reply STOP to any SMS from us to immediately unsubscribe. You will receive one confirmation message and then no further SMS.

Reply HELP to any SMS from us to receive our contact information.

You can also email info@pacificautomations.com to request removal.

No sharing of phone numbers

Pacific Automations does not sell, rent, or share mobile phone numbers or SMS opt-in data with any third parties, affiliates, or marketers under any circumstances. Phone numbers you provide are used solely to reply to your own inquiry and to deliver the SMS messages described above. This restriction applies to all categories of information sharing, including for marketing, promotional, or analytical purposes.

How we use the other information

To reply to your inquiries and schedule calls.
To deliver the services you engage us for.
To send occasional email (only to people who've emailed us or booked a call) — typically a direct reply, a recap, or a follow-up. No marketing blasts.
To maintain basic business records (invoicing, tax, legal).

Service providers we use

We use a small set of third-party tools to operate the business. These providers receive only the minimum information needed to perform their function:

GoHighLevel (LeadConnector) — CRM, chat widget, SMS delivery, booking automation.
Calendly — scheduling.
Hostinger — web hosting and email.

Each operates under its own privacy policy. None of them receive phone numbers except where required to deliver SMS (GoHighLevel).

How long we keep it

We retain contact information for as long as you remain a client or an active prospect. If you ask us to delete your data, we'll do so within 30 days, except where we're legally required to retain financial records.

Your rights

You can request a copy of the information we hold about you, correct it, or ask us to delete it. Email info@pacificautomations.com.

If you're in British Columbia or elsewhere in Canada, the Personal Information Protection Act (PIPA) and the Personal Information Protection and Electronic Documents Act (PIPEDA) apply. You have a right to complain to the Office of the Privacy Commissioner of Canada.

Security

We use HTTPS across the site. Third-party tools we rely on (GoHighLevel, Calendly, Hostinger) maintain their own security controls. No system is perfectly secure; we don't claim otherwise.

Changes to this policy

If we update this policy, we'll change the "Effective" date at the top. Material changes affecting SMS consent will be communicated in-channel.
